THE SHORT ANSWER

A recording, not a meeting bot

Voice Note Transcriber turns a meeting you have already recorded into text. Record an in-person meeting with the app or your phone’s recorder, or import a recording exported from a video call. Then choose Transcribe for the full record, or Summarize with Action items or Dates/deadlines for the follow-ups.

It does not join calls, connect to your calendar or show live captions while people speak. If your team wants an assistant inside every video call, choose a tool built for that. If you want a simple way to get notes from the recordings you already make, the phone app fits.

How to turn a meeting recording into notes

1. Record with consent, or import the file

Tell everyone the meeting is being recorded and follow your organization’s rules. The app’s recorder records up to 2 hours per recording, which covers most meetings. If a session runs longer, start a new recording when it stops. Recordings from video calls can be imported as audio (M4A, MP3, WAV, AAC, OGG, OPUS) or video (MP4, MOV, MKV, AVI, WEBM).

2. Choose the result your team needs

Pick Transcribe for a complete written record. Pick Summarize, then a style: Action items for follow-ups, Dates/deadlines for anything with a time attached, Bullet points for draft minutes, Short or Detailed for an overview. Each job produces one result, so run the same recording again if you need a second format. Put it in the project’s folder before sending.

3. Check owners and dates, then share

Compare the result with the recording before anyone acts on it. Check who agreed to each task, whether a suggestion became a decision, and what “next week” actually means. Copy the reviewed text into your own email or document tool. Tags and search help you find what was decided months later.

Pick the output for the job

A transcript and a summary answer different questions. Use the one that matches what happens after the meeting:

  • Transcript: the full record, for exact wording, disputes or someone who missed the meeting.
  • Action items: a draft task list. Confirm each owner and task before you send it.
  • Dates/deadlines: every time reference in one place, so you can resolve vague ones before planning.
  • Bullet points: a starting point for minutes you edit and approve.
  • Summarize + Translate: a translated summary for a colleague who works in another language.

Get a recording that’s easier to read back

Good notes start with clear audio. A phone in the middle of the table works best when people take turns and nobody is far from it. Background noise, side conversations and people talking over each other all lower accuracy, and no summary can recover a decision nobody stated clearly.

Saying a decision and its owner out loud before moving on (“So Maria sends the budget by Friday”) makes it much easier to extract later. For an online meeting, the cleanest source is usually the platform’s own recording. The Zoom recording guide shows how to find and import one.

Privacy and limits

Processing happens online, and the audio is removed after processing. Saved results sync to your account, and you can delete them or all your app data in the app. Check your workplace policy before uploading confidential meetings, and record only with everyone’s agreement.

Results are a draft for review, not official minutes or a legal record. Each recording has to fit the app’s current length and size limits, and usage depends on your plan. For interview-style recordings where exact quotes matter, the interview transcription guide goes further.

QUESTIONS

Meeting transcription questions

Does the app join Zoom, Teams or Google Meet calls?

No. It works with recordings. Record the meeting with permission, export or download the file, and import it. See the Zoom guide for that platform’s recording options.

Can it record a long meeting?

Yes. The in-app recorder records up to 2 hours per recording, which covers most meetings. If a meeting runs longer, start a new recording when it stops. Imported files from a meeting platform also need to fit the app’s current size and length limits.

Can I get the transcript and action items from one recording?

Yes, but as two jobs. One job returns one output, so process the recording once with Transcribe and once with Summarize and Action items. Check your plan’s usage in the app.

Will the summary know who said what?

Only if you turn on Speaker labels (Power plan) before sending. The summary can then attribute points to Speaker A or Speaker B, which are anonymous labels, not names. Check task owners against the recording. Speaker labels explained.
